Three modules, one place
- Pre-approval: get an expense approved before committing it, item by item, with the total calculated automatically. Every reimbursement or travel request is attached to one.
- Reimbursement: claim an expense already paid. Each line needs at least one receipt, and a photo of the receipt can fill in the line.
- Travel: a single report for receipts (hotel, transportation), per diem meals and mileage.
Approval workflows are set with simple rules, for example "over $500, two approvers". Approvers work in parallel: one absence doesn't block everyone.
What sets it apart
- Official per diem rates, kept up to date: every night, the app reads the Government of Canada meal rates and converts them at the Bank of Canada rate.
- Taxes on every line: GST, QST, HST, including per diem and mileage. The receipt is what counts, not a calculation from the total.
- Approve from email: the volunteer approver decides from their phone, in two clicks, with no account to create.
- One number per request, specific to your organization, and receipts renamed automatically: handy for the accounting file.
Pricing
The Free plan covers organizations with 1 to 5 employees, with no time limit. Beyond that, the tier follows the organization's number of employees, not the number of accounts or requests, and every feature is included at every tier. Up-to-date details are on Neo-Frais's pricing page (in French).
Who it's for
For Québec nonprofits where one person often carries all the administration, where volunteers don't want to learn yet another piece of software, and where every dollar must be justified to the board and to funders. To see exactly what happens on screen, read how it works (in French). To go further, read the guide to nonprofit expense management.
Your data
Neo-Frais is a TeoZapps app, a brand of Cap Commun (Montréal). Everyone who processes your data is named in the Neo-Frais privacy policy (in French), and use of the service is governed by its terms of use (in French).
